Compensation
Non-exempt, hourly position: $23.50 - $30.30 plus excellent benefits.
The Position
Under the administrative direction of the Deputy Executive Director, the Administrative Assistant is responsible for: general administrative support to District staff and the Board of Directors; accounting, record keeping and financial reports; meeting deadlines for regulatory requirements, financial reporting, and other activities; and supervision of the Office Assistant. Primary duties include, but are not limited to, the following:
- Prepares budgets, month-end and year-end financial reports, and detailed analysis and reports for annual audits;
- Gathers, summarizes, and prepares data for key financial reports, budgets, forecasts, etc.;
- Coordinates, schedules and handles all details for travel, conferences, events, and other meetings;
- Maintains and updates phone systems and all office equipment, places service calls, and monitors service agreements;
- Prepares meeting agendas, minutes, notifications, Board of Director agenda packets, and tracks meeting follow-up items;
- Performs special project tasks and conducts research, including assembly, analysis, and compilation of data for reports;
- Maintains/updates office employee records and manages all asset records;
- Coordinates front desk coverage and provides backup assistance when Office Assistant is out;
- Monitors, responds to, and distributes incoming communications;
- Organizes and maintains files in compliance with applicable governmental laws and regulations; and
- Performs other duties as required.
The Ideal Candidate
The District is seeking an energetic administrative professional with at least five years of progressive work experience in an administrative position in a public agency or non-profit organization. The ideal candidate will possess a working knowledge of current governmental accounting practices, payroll systems, personnel benefits administration, and requirements of the Ralph M. Brown Act (public meeting laws). He/she will possess expertise and proficiency in QuickBooks Pro and Microsoft Office, including Excel.
A successful candidate will have strong skills and abilities in: interpersonal communication, both oral and written; organizational work flow and systems administration; independent problem-solving; customer service; and research and analysis. The candidate must have excellent judgment in maintaining confidentiality and addressing sensitive matters.
Candidates must have a minimum of a high school diploma or GED. A Bachelor’s degree from an accredited college or university, or a certificate in accounting, is desirable but not required.
