THE POSITION(S): There are currently two Administrative Secretary positions available; one in Engineering/Public Works and the other at the Library. These are varied and complex clerical positions, which provides clerical and secretarial assistance to the Department Head and department staff. These positions are required to take and transcribe minutes of various day and evening meetings, as well as typing and assembling the agenda for the meetings. Employees of this class must be able to apply good judgment and be knowledgeable of department issues. The person in these positions are responsible for the operation of the business office and as such, works independently with minimum supervision.
ESSENTIAL DUTIES: Essential duties included, but are not limited to, the following:
1. Compose letters from marginal notes or verbal or written instructions; may acknowledge and answer correspondence and compose letters in connection with matters of recurrent or routine nature.
2. Types, creates, and proofreads a wide variety of materials including letters, emails, case records, legal documents, notices, agendas, department reports and other materials which may include sensitive information, and various forms and data involving the use of some independent judgment; reviews documents for completeness, accuracy, formatting, and compliance with policies and procedures. Maintains confidential/personnel files.
3. Ability to use a computer to input, retrieve and maintain data and demonstrate proficiency in Microsoft Office including, Word, Excel, and PowerPoint. Additional proficiency in Publisher and Access is also highly desirable.
4. Take shorthand/speedwriting notes and prepare meeting minutes; provide support to the Commission/Committee. Organize and coordinate agenda items and other clerical duties required by meeting Commission/Committee deadline requirements.
5. Answer routine public inquiries regarding Commission/Committee schedules, meetings, calendar items and other established information and procedures not involving policy changes or extensive independent judgment.
6. May provide technical and functional supervision to office staff.
MINIMUM QUALIFICATIONS: Three years of experience in responsible general stenographic and clerical work and graduation from high school, including or supplemented by office practice training; or any equivalent combination of experience and training.
